Payroll Reference

Payroll Reference Group – Meeting 16thMay 2011

Christchurch Earthquake

PRG have been concentrating on Christchurch earthquake.  Following the second quake many schools were not in a position to send through pay instructions.  Payroll were instructed to pay as per last requests sent through thereby ensuring that at least 90% of people were paid.  This was hugely helpful and took a tremendous amount of pressure off.  It made PRG realise the importance of an on-line up to date system such as Novapay.

 Novapay

Progress is being made on functional design.  There have been problems around sservice accumulation and leave  Leave capture data process is currently underway.  The team are confident where the testing is sitting at present.

The new system is planned to go live in July 2012.  There is disappointment around the length of time it it taking but the project needs to pass high levels of scrutiny and testing phases.

User acceptance training and trialling is scheduled for the end of the year.

Further discussion around leave particularly as far as caretakers are concerned.  Schools need to understand the importance of recording leave for salaried support staff.  If it's not recorded properly schools could face a huge leave liability bill.   As from April this year schools are required to set policy regarding accrual of annual leave and whether it should be paid out or not.  Obviously it should not be.  Schools encouraged to look at leave reports and advise staff to take leave and get balances down to acceptable levels.

Under the new system teacher registration status reports will be available by school.

Contact through the service desk will be tracked.  If a school logs a query there will be strict turn around criteria attached and it will be monitored.

A reminder that it is easier and more enviromentally friendly if all staff can supply an email address for e pay slips.

There were still delays in the SOY pay forms with about 35 schools not having the paperwork in on time.

 Next meeting July.
